Preparing Your AAP
In order for AAPOnline to complete your Affirmative Action Plan we will need four different data files from you. Excel Templates of the files can be downloaded to your computer. When your files are completed simply email the filed to AAPOnline.

The first is the Narrative information. The second is the Workforce by Department as of the date of your plan. The third is the Incumbents (this is a summary of the workforce exactly one year prior to the date of your plan). The fourth data file is your Adverse Impact data. This file is a summary of each of the following activities: promotions, terminations, applicants and new hires during the year prior to the plan date.

Narrative Information
The narrative portion of your Affirmative Action
Plan must designate an EEO Coordinator who is responsible for the
completion of the AAP. This individual must have the authority, resources,
support of and access to top management to ensure effective implementation
of the Affirmative Action Plan. Typically the OFCCP likes to have
an executive name as Director of Equal Opportunity Programs.
We will need your Company name and address along with your Dun & Bradstreet,
Employer Identification Number (IRS Tax Number, and EEO—1 Number.
(These numbers should be for the facility and the parent company,
if applicable.)
We will also need the name of the person at each facility where a
plan is being prepared who has overall responsibility. Typically is
a President, CEO, or General Manager.

Workforce Data
This file should contain every active, full–time,
part–time and temporary employee who was working on the effective
day of your Affirmative Action Plan year. For example, if your plan
year begins on January 1st, the data should cover those employees
who were active employees on January 1, 2001. If your plan year begins
on October 1 and ends on September 30, then the data should cover
those employees who were active employees on October 1, 2000.
AAPOnline has prepared an Workforce
Data Excel Template that you can download to your computer for
use in completing this part of the data entry. You can then import
the appropriate data from your HRIS system and email it to AAPOnline.

Prior Year Incumbents
This file should contain every active, full–tiome,
part–time and temporary employee who was working one year prior to
the effective day of your Affirmative Action Plan year. Please note
that after we prepare your first plan, this file will not be necessary
for succeeding years.

Adverse Impact Data
Every Affirmative Action Plan must have an analysis
of applicants, hires, promotions and terminations to determine if
women or minorities are disproportionately represented in any of these
human resources processes. This analysis includes all activity that
occurred during the previous year.
AAPOnline has prepared an Adverse
Impact Excel Template that you can download to your computer for
use in completing this part of the data entry. You can then import
the appropriate data from your HRIS system and email it to AAPOnline.
In preparing this file, AAPOnline does not require detail in order
to complete this component of your Affirmative Action Plan. We only
need the totals of men and women and their race for each of the activities
in the appropriate Job Group.
It is very important that this data contain appropriate Job Group
Codes. Without those Job Group Codes it is difficult to complete the
preparation of your Affirmative Action Plan.
